Job description

Our client is a long-established US commercial electrical, lighting, and signage contractor. They have been in business for more than four decades, they hold licences across several western US states, and they recently expanded their service footprint through an acquisition. Their customers are businesses, not homeowners for the most part: warehouses, offices, retail centres, hospitality properties, industrial sites, and multifamily buildings. What they sell is things like LED lighting retrofits, parking lot and warehouse lighting, illuminated sign installation and repair, EV charger installation, and electrical service upgrades.

Here is the part that shapes this role. Their sales representatives spend their working days on customer sites — on roofs, in parking lots, up ladders, inside warehouses. They are rarely at a desk. You will be the desk. Requests will reach you from the field, often mid-job, often incomplete, and usually with a customer waiting at the other end. Your job is to turn those fragments into accurate, complete, ready-to-send work, and to keep every open thread moving without anyone having to remind you.

The centre of gravity in this role is quote preparation, and the client will train you on it. Their templates, their price lists, their process. What they cannot train is the instinct to notice that a number looks wrong, to ask the one question that closes a gap instead of five that annoy a busy person, and to say out loud when something is not going to be ready. A quote is not a document. It is a number that becomes a commitment the moment it leaves the building, and you are frequently the last person who touches it.

Key Responsibilities

Customer & Sales Team Communication

  • Respond to emails from customers and internal sales team members in a timely, professional manner
  • Keep the sales team current on the status of open requests without being asked for an update
  • Communicate clearly and proactively so the sales process keeps moving while people are in the field
  • Route questions you cannot answer to the right person, and confirm they were picked up rather than assuming

Quote & Proposal Preparation (training provided)

  • Assist in preparing sales quotes and proposals using the company’s templates, price lists, and process
  • Build quotes from site survey notes, fixture and material counts, labor estimates, and equipment requirements
  • Check line items, quantities, unit prices, and totals before anything is sent for customer review
  • Flag missing scope or missing pricing rather than closing the gap with an assumption
  • Prepare revised versions when scope or pricing changes, keeping each version clearly identified

Sales Coordination & Administrative Support

  • Support the sales team with day-to-day administrative and coordination tasks
  • Assemble the information a representative needs ahead of a customer conversation or site visit
  • Maintain organized, current records of customers, sites, quotes, and correspondence
  • Prepare and format documents so they are ready to send without rework

Systems & Data Accuracy

  • Learn the company’s sales systems and tools quickly, and maintain accuracy in them
  • Enter and update records so that the information other people rely on is correct
  • Keep file naming and version control consistent so the current version is always the one that gets sent

Request Tracking & Follow-Up

  • Track incoming requests, open follow-ups, and next steps so that nothing stalls quietly
  • Chase outstanding information persistently and courteously until you actually have what you need
  • Escalate genuinely blocked items, with enough detail attached that the person you escalate to can act immediately
  • Keep a visible, current picture of what is still outstanding at the end of every shift

Requirements

  • Strong written and verbal English communication, suitable for direct contact with US business customers
  • Organized, detail-oriented, and responsive
  • Demonstrated accuracy working with numbers, quantities, and pricing inside documents that reach customers
  • A fast learner who adapts quickly to unfamiliar systems and processes
  • Able to think quickly, prioritize competing requests, and decide what gets handled first
  • Comfortable working independently and as part of a team
  • Available to work a schedule aligned to the US Pacific time zone
  • Reliable home internet, a backup connection, and a quiet dedicated workspace

Preferred Qualifications

  • Prior experience in sales support, sales administration, inside sales coordination, or estimating support
  • Experience preparing quotes, estimates, or proposals in any industry
  • Background in construction, the trades, field service, facilities, or another site-based business
  • Experience working directly with US-based teams or US customers
  • Comfortable in spreadsheets beyond data entry — formulas, filtering, sorting, and simple checks
  • Experience with a CRM or field service management platform

Tools & Software

  • The client’s sales and quoting system (full training provided)
  • Microsoft Excel or Google Sheets, for quote calculations and request tracking
  • Microsoft Outlook or Gmail, for sustained day-to-day email volume
  • Microsoft Teams and OneDrive, for team communication and document storage
  • PDF tools, for preparing customer-ready documents
